We are looking to contract a communications consultant with a focus on events and public affairs. The consultant will be working across a range of ODI’s programmes, primarily the Humanitarian Policy Group (HPG) and the Risk and Resilience programme.
Terms of Reference
Events
Lead on developing and delivering an ambitious and influential series of events, roundtables and seminars between September 2019 and January 2020, to help increase the impact of research from programmes across ODI, primarily the Humanitarian Policy Group and Risk and Resilience. These include, but are not limited to: webinar series (including with external partners); roundtables at external events (such as the World Humanitarian Action Forum and Global Refugee Forum) and with donors and policy partners; panel discussions and flagship lectures at ODI’s offices in London (planned in October and December); multi-day conferences in liaison with external partners, and so forth. Tasks include:
- Produce, cast, and organise such convening opportunities, in line with strategic objectives (including expanding audiences and increasing influence).
- Liaise with ODI’s Events Manager on upcoming plans and priorities, ensuring that all events complement ODI’s overall events portfolio.
- Work with researchers to develop event formats, concept notes and programme descriptions to communicate expert analysis through a range of different formats, engaging a diversity of speakers and producing presentations and briefing notes.
- Develop and coordinate/implement project plans and supporting communication strategies to ensure events are impeccably planned, logistically/operationally successful and well profiled and promoted (including across ODI’s digital channels as well as key external platforms).
- Plan effective operations/logistics and ensure delivery of smooth-running of events by liaise with colleagues in the Facilities and A/V teams at ODI and external suppliers to ensure the smooth running of each event, accounting for their requirements and needs.
- Lead on the allocation of tasks, production of events materials, speaker and moderator briefings, set-up and logistics for each event.
- Prepare presentation materials, briefing notes and develop digital assets of events to support the delivery of key outputs and messages
- Monitor the impact and uptake of events, and implement any learnings, disseminating across the institute.
- Align and coordinate thematic event series alongside wider institutional priorities i.e. ODI’s 60th Anniversary
- Ensure adherence to institutional guidelines on events.
- Lead on the organisation of flagship events, including HPG’s Annual Lecture (5th December 2019) in collaboration with the Head of Programme.
- Support media and public affairs work, including responding to media requests; identifying opportunities to amplify research in specialist media or key external events; and coordinating with central media and public affairs team.
General communications duties
Where necessary and specified, the Consultant will also provide general communications support to a group of research programmes, which may include:
- Supporting the production of publications, including: commissioning copyediting, layout and design work; liaising with external suppliers; coordinating with publications colleagues; adhering to institutional editorial, brand and style guidelines.
- Supporting digital and multimedia work, including: creating and updating website content; promoting and disseminating online content; email marketing; managing project websites and social media accounts (if applicable); commissioning digital products; sourcing images for online use; coordinating with digital colleagues; and supporting researchers to develop blogs and engage on social media.
- Monitoring and logging the impact of communications activities and implementing learnings.
- Creating and maintaining production schedules around communications activities.
- Participating in cross-institute meetings to promote effective coordination and information-sharing around upcoming work and institutional processes and guidelines.

Rate:£220 – £280 per day depending on experience.
