We are looking for an experienced Administrative Assistant to help manage the administration of the People Services teams – particularly the Global Security department and Director of People Services, as well as ad-hoc assistance to the Facilities team.
This is a challenging, varied role providing shared administrative and secretarial support to several People Services teams at ODI.
You will be responsible for internal website management, external account management, online platform maintenance, diary management, coordinating a range of social/internal events and proofreading a range of documents.
Given that the role involves work of a confidential and/or sensitive nature, the applicant will at times be under extreme pressure, and will need to respond and support both quickly and efficiently to evolving situations and security incidents.
Maturity and emotional resilience is a key quality, as in supporting Global Security the post holder will be expected to –when necessary– support in the response and logistics of medical and security incidents overseas that some may find upsetting.
About you:
- Capacity to work quickly under large amounts of pressure.
Education to A–Levels or equivalent and above.
Knowledge of a variety of software packages including MS Office (Word, Excel, PowerPoint and Outlook) database and website specific software.
Strong communication skills, both written and oral.
Strong organisational skills and self-motivation.
Experience in diary management and travel booking.
Time management skills including planning and prioritising own work.
Ability to work under pressure and to strict deadlines.
