Contract: 1-year fixed term

Salary: £23,527 - £29,491 per annum

About the role

We are looking for a Project Administrator to join the Project Management Team. **

The Project Administrator will provide administrative, logistics, event management, and operational support to a variety of ODI projects, the Head of Strategic Operations (HSO) and the Humanitarian Policy Group (HPG). In particular, they will provide administrative support with regard to the management of subcontractors, partners and donors, check invoices and expense claims, and monitor project expenditure, raise purchase orders, support with logistics for events, assist with project audit preparation etc. They will have a critical role in ensuring that institutional partners’ and external consultants’ contracts are promptly and correctly raised to avoid delays to projects. They will have a thorough understanding of ODI’s expenses policy and will ensure contractors’ invoices are aligned to both donors’ and ODI’s guidelines.

Other key responsibilities include:

· Project, financial and contractual administration including:

o The set-up of new subcontractors/partners in the ODI subcontractors’ database and FocalPoint.

o Monitoring subcontractor/partner invoices against budgets and contracts.

o Raising purchase orders and processing invoices.

o Assisting the PM team in reconciling and consolidating data for quarter and year-end financial procedures.

o Preparing documentation to accompany proposals and bids

· Assisting in organising meetings, team retreats and events, including finding and booking venues, arranging facilities and block hotel booking, liaising with participants and taking meeting minutes.

· Providing ad-hoc administrative support to the HSO, Managing Director and the HPG Senior Project Manager.

About you

Knowledge and Qualifications

· A-Levels or NVQ Level 3, or equivalent experience

· High level of numeracy

Experience

· Experience of project administration (including financial administration)

Skills/Abilities

· Strong organisational skills and self-motivation

· IT skills, to include Excel, PowerPoint, Word, Outlook

· Ability to learn to use new software quickly

· Data management skills

· High standard of written and verbal communication

· Multitasking capabilities

· Excellent interpersonal skills and cultural sensitivity, the ability to deal with people from a variety of backgrounds

· Ability to work to work under pressure and to strict deadlines

· Tactful and diplomatic approach to working with senior staff
